📄️ Client List Management (Beta)
What’s the Purpose of the Client List?
📄️ Projects and Clients in AulT&E
Some firms have a flat client list, and some firms create multiple projects for every client. No matter which approach you take, this article helps you understand how AulT&E organizes client and project data.
📄️ Creating a New Client or Project
The step-by-step for adding new clients and projects depends on whether your firm’s project list is flat or hierarchical. Take a look at how AulT&E organizes client/project data and decide if your firm uses a flat or a hierarchical view.
📄️ The Project List View
You’ll frequently access the project list to view and/or edit your projects in AulT&E.
📄️ The Project Dashboard
Use the dashboard to add details about each project, like billing rates. Then, update it as your team progresses on a project. For example, you may add more tasks or a billing contact. Doing so can help you stay organized and informed, and ultimately help you to manage your project effectively.
📄️ Adding and Removing Tabs From Your Project Dashboard
When you click on the name of a project in your project list, you’ll see a number of tabs at the top of your project’s dashboard.
📄️ Use Project Teams in AulT&E
Project teams are used to limit the projects staffers have access to. They’re also used for internal organization, reporting purposes, and review and approval at the project-level.
📄️ Adding Team Members to Your Project
Project teams in AulT&E consist of staffers who have permission to bill time and expenses against a particular project. Each team can have one or more assigned “leads,” or managers with higher-level security rights. This step-by-step article will show you how to add new team members to AulT&E.
📄️ Managing Contacts for Projects
In AulT&E, you can add information about your project contacts and clients. Project contacts are people related to a project that you can reach out to, like a billing contact. You can add information about your contacts, such as an email address or phone number. On the other hand, clients are your customers. So client information is simply information about your customers, like their address.
📄️ Creating Project Contacts
It’s a good idea to create a contact or two for each project. That way you’ve got someone to reach out to when questions come up and challenges arise, as they occasionally do.
📄️ What’s in Your Client Tab?
When you access a project in your Project List, you’ll see a client tab. What’s this client tab used for? What information can you input and reference? Why is it useful?
📄️ Client Information for Projects
It’s a good idea to include client information, which is simply information about your customers, for each of your projects—especially if you’re invoicing out of AulT&E. The client’s legal name, for example, is a necessary detail in order for your invoices to be labeled correctly.
📄️ Copying a Contact From Another Project
There’s no need to re-enter contact information when you can simply copy it from project to project.
📄️ Adding Clients to a Flat List
If you don’t use projects, then adding new clients to the system is easy. Just go to the MY COMPANY...PROJECT LIST_** page and click the ADD_ button at the top of the screen. When you do, you’ll see a screen that looks like the one shown here.
📄️ View Project Currencies in The Project List
Once your firm has activated AulT&E’s multi-currency for billing and invoicing feature, you’ll be able to set default currencies for each of your projects. If you want to get a high-level view of all the currencies your firm does business in, you can add a _CURRENCY_ column to your Project List. This column will display the default currencies for each of your projects.
📄️ Get Alerted When You Don’t Save Modifications When Switching Tabs in Project/Staff List
AulT&E will alert you when you make a change on the Project and Staff Lists without saving it.
📄️ What’s the Difference Between Current Status and Billing Status?
Current status and billing status are two fields that appear near each other on the Project Dashboard. Understandably, users get these fields confused. So this article will explain the differences between these terms and their function in AulT&E.
📄️ Remove a Project From AulT&E
There are three ways to remove a project from your project list:
📄️ Selecting a AulT&E Display Name
In AulT&E, the name you see on screen for a project is not actually the value in the “project name” field. It’s the project’s display name. Display names are updated automatically and may contain a client name as well as a project name, a project code or other information. This article will walk you through updating your system’s display name settings.
📄️ Creating a Non-Billable Internal ProjectCreating a Non-Billable Internal Project
Some firms create “internal projects” for staffers to log non-billable time, such as vacations, sick days, and company trainings. Other firms create a “client,” and then create separate “projects.” In this article, we’re going to set up an internal project called “vacation.”
📄️ Getting Started With Custom Fields for Projects
Create a custom field in AulT&E when you want to add extra information about a project. A website link, picklist (dropdown menu), or text box are among the many options you can incorporate in your custom field.
📄️ Creating and Deleting Custom Fields for Projects
In AulT&E, you can add extra information about your projects by creating custom fields. You can also edit these fields to personalize your information, from adding a link to a website to creating a picklist (dropdown menu).
📄️ How To View and Reactivate an Inactive Project
AulT&E users often make projects inactive when a project is complete or on hold. This action removes the project from your project list. However, inactive projects can be viewed and/or reactivated. This article will explain both options.
📄️ Merging Duplicate Project Data
At some point duplicate projects may be created. When AulT&E merges projects, it deletes the project you select, but moves all of its history (time, expenses, invoices, team, rate information, etc.) to another project first. This article walks you through this process.
📄️ Deleting, Deactivating or Reactivating a Project
What’s it mean to deactivate a project? And what’s the difference between deactivating a project and deleting it? This article will answer these questions: you’ll learn how to deactivate and reactivate a project, and how to delete a project.
📄️ Accessing and Using Project Codes
A project code is a unique way to identify a project. It’s a mandatory field, but customizable, when creating new projects.
📄️ Adding to a Hierarchical List
If you use projects or clients, or both, then this article is for you! Learn how to add new clients and projects to a hierarchical project list. This article will walk you through the process.
📄️ Using Custom Fields Throughout AulT&E
A benefit of creating custom fields is using them throughout AulT&E. They can provide detailed information at a glance to help you make informed decisions.
📄️ Customizing Custom Fields for Projects
AulT&E allows you to customize your custom fields. This is helpful when you’d rather have a monetary value, picklist (dropdown menu), or website link for your custom field, instead of AulT&E’s default option: a text box.
📄️ Adding Multiple Custom Fields for Projects
There’s no limit to the number of custom fields you can have. If you’ve already set up at least one custom field, read on to learn how to add more.
